How do I change how a quote looks when it’s sent?

Select the quote you would like to preview. Click the ‘Preview’ button in the toolbar at the top of the Stone Hill Invoicer window. The view will change to show how a quote will appear when printed, emailed, or saved as a PDF.

To change this, click the ‘Edit Printing Template’ button below the search field. A text view will appear with the quote template in it. This is the file that your actual quote values are substituted into to create your quote.

It contains a number of special words, surrounded by square brackets which will be replaced when you preview, print, email or PDF a quote.

You can do normal text editing to this file. Right clicking (or holding down the control key and clicking) the table will also allow you to add and remove rows or columns.

How do I make sure quotes are always sent out with todays date?

Select the ‘Preferences’ option from the ‘File’ menu. A window with several checkboxes will appear. Make sure that the checkbox labelled “When setting status to ‘Waiting for Reply’, change the quotes date to today” is checked.

Now, whenever you change the status of a quote to ‘Waiting for Reply’, the date will be changed. Change this status before you send out a quote.

How do I save a PDF of a quote?

Select the quote you would like to PDF. Click the ‘PDF’ button in the toolbar at the top of the Stone Hill Invoicer window. A ‘Save As’ dialog box will appear. Choose where you’d like to save the PDF.

You can also drag a quote directly out of the quotes list into a folder. It will be saved as a PDF to that folder.

How do I send a quote via email?

Select the quote you would like to email. Click the ‘Email’ button in the toolbar at the top of the Stone Hill Invoicer window. A print dialog box will appear.

Your email client will launch if it’s not already running. A new message will appear with a PDF of the quote as an attachment. Customize and send your message as you normally would.

Stone Hill Invoicer supports Apple Mail, Microsoft Entourage, and Eudora. If you use a different mail client, please don’t hesitate to email invoicer-support@codehackers.net to let us know and we’ll look into adding support for it.

How do I discount an entire quote?

Open the quote that you want to add a discount to. Near the bottom of the screen is a text box labelled “Discount”. Type in the percentage that you would like the quote discounted.

If you would like to provide a discount of a specific amount, create a new line item in the Goods and Services table. Set the quantity to ‘1’, the Item to something descriptive like ‘Discount’, and the unit price to a negative amount.

How do I adjust tax rates on every quote?

To edit tax rates, select the ‘Company Preferences’ option from the ‘File’ menu. Near the center of the screen, you’ll see text boxes for state tax and federal tax formulas.

To change the amount of tax charged, edit the tax formula. For example, you might change the ‘5% of total’ to ‘10% of total’. You can also just use a straight percentage, such as ‘7%’, as Stone Hill Invoicer understands that the tax is implied as a percentage of the total.

Changing the tax from the Company Preferences will change the tax for all new quotes created.

Click the ‘Tax’ button near the bottom of the quotes screen. A popover will come up. You can see the taxes on the quote broken down into Federal and State taxes.

Each tax will be listed in the format of “5.00 at 5% of total”. In this example, $5.00 of tax is being charged, which is 5% of the total taxable cost.

To change the amount of tax charged, edit the textbox after the ‘at’. For example, you might change the ‘5% of total’ to ‘10% of total’. You can also just use a straight percentage, such as ‘7%’, as Stone Hill Invoicer understands that the tax is implied as a percentage of the total.

How do I add items to a quote?

Once you’ve created a quote, you can add an item to it by clicking the “+” button below the Goods and Services table. A new item will be added to the quote.

You can type the SKU of an item to automatically fill in the rest of the item details.

You can also drag and drop an item from your inventory (located in the lower right of the quote screen), directly onto the Goods and Services table.
